How to Use FreeLabels

FreeLabels is a simple yet powerful cloud-based platform for generating professional product, inventory, and shipping labels. Follow this step-by-step guide to start creating labels in minutes — no installation, no fees.

Step 1: Prepare Your Data

Create an Excel (.xlsx) file containing your product information such as product name, SKU, barcode number, and optional QR code link. You don’t need to fill in every column — the data is not mandatory. You can leave any cell empty if it’s not required, and FreeLabels will automatically generate your labels based on the information you provide. For the Barcode and QR Code fields, multiple formats are supported. QR Code can be entered as a URL, plain text, or an Electronic Product Code (EPC), depending on your labeling needs. Each row should represent one label. Example:

Name SKU Price Barcode QR/EPC Expiry/Manufacturing GST HSN Brand
Sample Product SKU: SKU-001 Price: 100/- 123456789012 https://mindnotion.in Exp: 01-2025 GST: 18% HSN: 1234 FreeLabels
Another Product SKU: SKU-002 Price: 250/- 987654321098 BE72000000001616 Mfg: 02-2026 GST: 12% HSN: 5678 FreeLabels

Step 2: Upload Your Excel File

Go to the Create Labels page and upload your Excel file using the file upload option. FreeLabels will automatically read the data and prepare it for label generation.

Step 3: Customize Label Settings

Choose the label size, margins, and layout. The column names in the template are provided as placeholders for common label fields (e.g., Name, SKU, Price, Barcode, QR/EPC, Expiry/Manufacturing, GST, HSN, Brand). However, you are not restricted to these values — you can still enter custom data in each cell according to your own requirements.
For example, if you don’t need “HSN” but want to add “Batch No” or “Category,” simply type it in the respective column cell. FreeLabels will generate the labels with the exact content you provide, regardless of the placeholder names.

Step 4: Preview Your Labels

Instantly preview how your labels will look. Verify alignment, barcode scanability, and QR code functionality before exporting.

Step 5: Export Your Labels

  • PDF Export – Print-ready labels.
  • ZPL Export – For Zebra label printers.
  • TSPL Export – For TSC label printers.

Tips for Best Results

  • Ensure your barcode numbers are valid and unique.
  • Use high-quality printers for crisp label output.
  • Test a sample label before printing in bulk.
